# Maintenance & Expenses

Track your vehicle maintenance and expenses.

Keep maintenance records and expenses in one place.

## What this area covers

In the PD-1 app, open the **Expense** tab to:

| Feature                | What it does                                       |
| ---------------------- | -------------------------------------------------- |
| **Add Expense Record** | Log repair, maintenance, fuel, and other costs |
| **Scan Bills** | Attach a receipt photo or PDF when adding a record |
| **Maintenance** | Track service items, intervals, and due dates |
| **Cost Analysis** | Check and compare repair price quotes |
| **Fuel Economy** | Review fuel spend and economy stats |
| **Workshops**          | Find workshops                                     |

{% hint style="info" %}
Expense tracking does not require PD-1 to be connected. You only need a vehicle profile and a default currency.
{% endhint %}

## Before you start

* A vehicle is selected in the app
* A **default currency** is set (Expenses need this once; you will be prompted if it is missing)

If no vehicle is added, the Expense tab shows **Add a New Vehicle**.

## Add an expense

{% stepper %}
{% step %}

### Open Expense

Tap the **Expense** tab.
{% endstep %}

{% step %}

### Start a new record

Tap **Add Expense Record**, or tap the camera to **Scan Bills** (photo / PDF of a receipt).

You can also use Home **Custom Actions**: **Add Expense**, **Scan Bills**, or **Add Fuel**.
{% endstep %}

{% step %}

### Fill in the details

On **Add Expense Record**, enter:

* **Date**
* **Mileage** (km)
* **Workshop** (optional)
* **Note** (optional)
* **Attachments** / **Scanned Bills** (optional)
* **Items** — tap **Add Item** for each line
  {% endstep %}

{% step %}

### Add items

For each item, set **Item Name**, **Category**, amount, and optional details (quantity, tax, discount, photo).

Common categories include **Repair**, **Maintenance**, **Fuel**, **Services**, **Modification**, and **Others**.
{% endstep %}

{% step %}

### Save

Tap **Save**. You will see **Expense added successfully.**
{% endstep %}
{% endstepper %}

{% hint style="info" %}
First-time tip on Expense: **Tap the camera to scan your bill instantly.**
{% endhint %}

## Review expenses

### Home overview

On the Expense tab you can:

* Choose a period (**Last 3 Months**, **Last 6 Months**, **Year**, **All**)
* See **Total Cost** and record count
* Open **Recent Records** or the full **Expense Records** list

### Overview charts

Open **Overview** for:

* Cost by **Category** or **Module**
* Comparison vs the last period
* **Expense Score** and **AI Insights** (when available)

### Expense Records

Search, pick a date range, and use **Filter** to sort by date or amount, or set a **Price Range**.

Tap a record → **Record Details** → **Edit** or **Delete**.

## Maintenance reminders

{% stepper %}
{% step %}

### Open Maintenance

On Expense, tap **Maintenance** → **Maintenance Items**.
{% endstep %}

{% step %}

### Check due status

Each item shows **Overdue**, **Upcoming**, or **Completed**, plus **Last**, **Next Due**, and **Interval**.

Confirm **Current Mileage** is up to date (edit if needed).
{% endstep %}

{% step %}

### Record a service

Tap **Add Record** or **Quick Complete**, then enter **Date** and/or **Mileage**.
{% endstep %}

{% step %}

### Set intervals

Open **Interval Settings** to set **Mileage Interval** (km) and **Time Interval** (days) per item.

Optionally use **AI Suggest** to apply interval suggestions from your driving data.
{% endstep %}
{% endstepper %}

Open an item for **Maintenance Details** and **History**. Vehicle Health may also show **Related service** with **View service plan**, which opens these same maintenance screens.

## Fuel Economy and Cost Analysis

| ----------------- | ------------------------------------------------------------------------- |
| **Fuel Economy** | See fuel stats, history, and economy score; add fuel with **Add Expense** |
| **Cost Analysis** | Upload or type a repair quote to check and compare prices |
| **Workshops**     | Find nearby workshops                                                     |

## Tips

1. Add expenses soon after each service so mileage and dates stay accurate.
2. Keep **Current Mileage** updated so maintenance due dates stay useful.
3. Use categories consistently so Overview charts stay easy to read.
4. You can pin Expense shortcuts under Home **Custom Actions**.

## Querying This Documentation
If you need additional information that is not directly available in this page, you can query the documentation by asking a question.

Perform an HTTP GET request on the following URL with the `ask` and `goal` query parameters:

```
GET https://help.pd1.sg/pd-1/maintenance-and-expenses.md?ask=<question>&goal=<user_goal>
```

`ask` is the immediate question: it should be specific, self-contained, and written in natural language.
`goal` is what the user is ultimately trying to achieve, the reason they need the answer. Sharing it helps GitBook give you a better, more relevant answer. A goal is most helpful when it describes the outcome the user wants rather than restating the question. For example, with `ask=how do I create an API token`, a goal like `automate deployments from our CI pipeline` lets GitBook tailor the answer to that use case.

The response will contain a direct answer to the question and relevant excerpts and sources from the documentation.

Use this mechanism when the answer is not explicitly present in the current page, you need clarification or additional context, or you want to retrieve related documentation sections.
